Outsourced Doers is a rapidly growing provider of virtual assistant services, specializing in supporting entrepreneurs and businesses in the digital marketing space.

As a Doer Success Admin, you’ll be the behind-the-scenes hero supporting the heart of our Operations Team. Your mission: keep things moving smoothly for our amazing Doers (our rockstar team members) by providing critical admin support and handling HR-related requests with speed, empathy, and accuracy.

From processing leave and schedule change requests to issuing incident reports and conducting exit interviews — you’ll make sure every Doer receives the support, guidance, and clarity they need.

This isn’t just admin. This is purpose-driven support that impacts hundreds of careers daily.

What You’ll Be Doing

✅ Review and approve/decline HR-related requests (leave, Certificate of Attendance, schedule changes, resignations)
✅ Coordinate Doer transitions (production ↔ training), and adjust shifts accordingly
✅ Make outbound calls to guide, clarify, and support Doers through changes
✅ Issue incident reports and conduct retention/exit interviews
✅ Handle and triage general enquiries from Doers and internal departments
✅ Ensure timely, policy-aligned processing of all tickets and requests
✅ Prepare daily and intraday reports to keep the team on track

What You Bring to the Table

🔍 Knowledge

✅ Proficient in back-office and ticketing tools such as Zoho, Freshdesk, Zendesk, and similar platforms
✅Advanced skills in Microsoft Office, Google Sheets, Excel, Word, and other spreadsheet/reporting software

✅ Excellent analytical skills and keen attention to detail
✅ Assertive, with the ability to drive improvements in behavior and process
✅ Highly numerate and confident in working with complex data
✅ Strong organizational and time management skills

🎓 Experience & Education

✅ 3+ years in a back-office or ticketing environment in an admin or reporting role
✅ Hands-on experience with ticketing systems like Zoho, FreshDesk, Zendesk, or similar
✅ Familiarity with monitoring tools such as ActivTrak, TimeDoctor, or Teramind is a plus
✅ Must have strong technical and software proficiency
✅Experience in fast-paced, dynamic workplaces where multitasking is key
